The Finance and Operations Associate is responsible for supporting the finance & operations department with invoicing, collections, account payables, project maintenance, credit card bill reconciliation, and vendor communication. This position reports directly to the Director of Finance. This is a full-time position.


  • Create project codes
  • Update revenue tracker
  • Prepare and editing invoices to be sent out for fees and out-of-pocket expenses to clients
  • Filing all accounts payable documents
  • Assist with tracking the financial performance of the firm and collect the necessary data needed to inform insights around the financial health of firm’s projects
  • Track and maintain excel spread sheet of client master service agreement
  • Assist in processing Value Add Tax refund claims monthly (VAT)
  • Assist in A/R collection calls
    • Confirming due dates of payments from clients by telephone, e-mail and other means as appropriate
    • Maintaining an Excel accounts receivable invoice register.
  • Monitor IT inventory and place supply orders
  • Track daily operations and report or resolve issues
  • Maintain company CRM and project management databases and system testing
  • Assist Director of Operations with project team assignment management
  • Supporting the Director of Operations with the enforcement of company policies and standards
  • Additional tasks as assigned



  • Bachelor’s or Associate degree or equivalent experience required
  • Minimum two to three years’ work experience in accounts receivable, accounts payable, and administration
  • Excellent interpersonal, and written and verbal communication skills with a strong customer service orientation
  • High attention to detail
  • Ability to work in a team and independently
  • Capable of working with time-sensitive and confidential material
  • Fluent user with Microsoft Office Suite
  • Experience in using technology (e.g. CRM, MS Office, enrollment management systems, web management, database management, etc.)
  • A passion for technology and a knack for details
  • Troubleshooting and problem-solving capabilities
  • Flexible, able and happy to deal with frequently shifting prioritie
  • An analytical mindset to ingest ideas, synthesize data, and summarize complex gray concepts then translate into tangible and measurable visuals (dashboards, presentations, etc.) with exceptional written communication
  • Ability to take direction and follow-through/complete assignments and task
